Converting Excel to PDF: what to know
When you need it
A PDF of a spreadsheet is the safe way to send a quote, an invoice, a report or a timetable: the recipient sees exactly your figures, can't change the formulas and doesn't need Excel.
What to expect
Every sheet in the workbook is exported. Pages break the way the sheets are set up for printing, so a wide table without a print setup can be split across several pages.
Tip: Before converting, set the print area in Excel and use Page Layout → Scale to Fit to fit all columns on one page; the PDF will then look the way you intended.

What is Excel?
XLSX is the default Microsoft Excel format since Excel 2007. It stores worksheets, formulas, charts and formatting in an open XML-based package and also opens in Google Sheets and Apple Numbers.
What is PDF?
PDF preserves a document's exact layout, fonts and images so it looks the same on every device and printer. It is the standard for sharing, signing and archiving final documents, but it is designed to be read rather than edited.
Tips for converting Excel to PDF
- Fonts that are not installed on our servers are replaced with similar ones, so check the layout of the converted file.
- Scanned documents are images: converting a scanned Excel will not make its text editable (that requires OCR).
- Complex layouts, macros and embedded objects may not survive every conversion; review the PDF before sharing it.
- Password-protected files cannot be converted — remove the password first.
