Converting PNG to PDF: what to know

When you need it

Screenshots, diagrams, certificates and scanned pages saved as PNG often need to be submitted or archived as PDF, the format offices and online portals expect.

What to expect

Each PNG becomes a one-page A4 PDF. Text and lines from screenshots stay crisp because PNG is lossless, and transparent areas simply show the white page behind them.

Tip: To send several screenshots as one document, convert them all and join them with Merge PDF, in the order you want.

What is PNG?

PNG uses lossless compression and supports full transparency, which makes it ideal for logos, screenshots, icons and graphics with text or sharp edges. For photographs it produces much larger files than JPG.

What is PDF?

PDF preserves a document's exact layout, fonts and images so it looks the same on every device and printer. It is the standard for sharing, signing and archiving final documents, but it is designed to be read rather than edited.

Tips for converting PNG to PDF

  • Each image becomes one page of the PDF; convert several files at once to get several PDFs you can then merge.
  • Start from the sharpest image you have: a PDF cannot add detail that the picture does not contain.
  • A PDF made from an image keeps it as a picture, so its text is not selectable or searchable without OCR.
  • If the PDF is too large to email, run it through the Compress PDF tool afterwards.
