Converting Word to PDF: what to know

When you need it

A PDF looks the same on every screen and printer, can't be changed by accident and is what most portals, employers and print shops ask for. Converting a Word document to PDF is the standard last step before sending a CV, an invoice or a report.

What to expect

The layout is fixed: pages, images and tables appear as they will print. Fonts that aren't available on the server are replaced with similar ones, which can move line breaks slightly. Comments are not included in the PDF, and macros are never run.

Tip: Using an unusual font? Embed it in Word first (File → Options → Save → Embed fonts in the file) so the PDF keeps your exact typography.

What is Word?

DOCX is the default Microsoft Word format since Word 2007. It is an open, XML-based standard that keeps text fully editable with styles, tables, images and comments, and it also opens in Google Docs and Apple Pages.

What is PDF?

PDF preserves a document's exact layout, fonts and images so it looks the same on every device and printer. It is the standard for sharing, signing and archiving final documents, but it is designed to be read rather than edited.

Tips for converting Word to PDF

  • Fonts that are not installed on our servers are replaced with similar ones, so check the layout of the converted file.
  • Scanned documents are images: converting a scanned Word will not make its text editable (that requires OCR).
  • Complex layouts, macros and embedded objects may not survive every conversion; review the PDF before sharing it.
  • Password-protected files cannot be converted — remove the password first.
